Product Updates

QuickBooks product updates:

 

When improvements & updates are made to the current versions of QuickBooks or when unforeseen issues are discovered & resolved, Intuit creates an update, sometimes referred to as a maintenance release. Here, you'll find the information you need to update your current version of QuickBooks. 

1. Click the link below for the version of QuickBooks you own to begin the download process.
2. Review the update details (what is included).
3. Follow the instructions to download the update.

QuickBooks Product Updates

 

Due to a minor database database change included in this release, you will be required to upgrade your company file again. However, this upgrade process will not take as long as the original upgrade.

To download and install an update, select the version of QuickBooks you want to update.  

Please remember that if you use QuickBooks in multi-user mode, you must update all copies of QuickBooks on your network so that they all have the same release installed. 


If you need to reinstall your software in the future, you will need to reinstall any product updates, or you will not be able to open your company file(s).

You can download QuickBooks by clicking the links below. You must have your original install codes to be able to install using these download links. You would have received these when you originally purchased QuickBooks. Where can I find my install codes?

When you install QuickBooks using these download links, the Adobe Reader and QuickBooks Timer are not installed. 

To download and install:

  1. Click the link for your program on this page.
  2. When the File Download window appears, click Save (do not click Open).
  3. Save the file to a location that is easy to find, such as your desktop.
  4. Double-click the file you downloaded to start unpacking the files.
  5. Click Next to unpack the installation files.
  6. The installation will begin automatically after the files have been extracted.
  7. Follow the onscreen instructions to complete the installation.
  8. When the installation is complete, open the software using the desktop shortcut.

Automated Password Reset Tool

Overview

If you have lost, forgotten, or do not have the administrator password required to access your QuickBooks company file (in Version 2008 or later), the Automated Password Reset Tool can help.

To use the reset tool, you need QuickBooks 2008 and later and the following:

• License number
• Contact name
• Email address
• Phone number
• Post Code

Important! Your license number, e-mail address, telephone number and post code will be validated against your Company Registration record in our database.  If any of the parameters do not exactly match the information we have on file for your company when you registered your product, then the request will fail.
 
Download the Automated Password Reset Tool

This tool only works for versions 2008 and later. If you have an earlier version of QuickBooks, we have a password removal service available (fees apply). Click here for more details.

You must use the Password Reset Tool within 2 hours of receiving your Token Number in the email you received. After 2 hours, the Token Number may become invalid. 
If you get the error message "Token is either invalid or has expired", go back to the webpage where you downloaded the Password Reset Tool, and fill in all the fields up to the License Agreement. Accept the agreement but do NOT download the tool again. This will generate another email with another Token Number for you to use.
 
  1. Click here to download the Password Reset Tool. 
    Once your information is validated, we'll send you an email (from This email address is being protected from spambots. You need JavaScript enabled to view it. ) with further instructions and a Token Number. You can only use one Token Number to reset a password inone company file. If you have multiple company files whose passwords you want to reset, you need go back to the tool and fill out the fields up to the License Agreement (but don't click the download button). This will get you another email with another Token Number.
  2. Run the Password Reset Tool and open the company file that has the password you want to reset. You must be connected to the Internet.
  3. Enter the Token Number from the email that we sent you and reset the Admin password.
  4. Open your company file to verify that the new password works.

You can use the QuickBooks Connection Diagnostic Tool to troubleshoot H202, H505, and 6000 series errors in QuickBooks. Intuit recommends first searching our support website using the specific error you've seen. These errors might occur when you open a company file in a multi-user, networked environment.

The QuickBooks Connection Diagnostic Tool is designed to troubleshoot networking and multi-user errors that can occur when you open a company file. If you’re experiencing H202, H505, or 6000 series errors, this tool can help.

File Doctor

File Doctor opens your data file and fixes your file and network (US, UK, and CA)
 
About the QuickBooks File Doctor (QBFD):
 
  • Works for US, CA, and UK versions of QuickBooks!
  • File and data repair. QuickBooks does not need to be installed on your computer.
  • Network diagnosis and repair. QuickBooks must be installed on the computer running File Doctor.
  • Multiuser diagnosis and repair. QuickBooks Hosting must be turned on.
  • The QBFD Tool supports: Win 8, Win 7, Win Vista, Win XP SP3, Server 2003-2012
  • If .NET frame work 2.0 is not installed on your system, QBFD will install it along with the diagnostic tool.
 
Limits of using the QuickBooks File Doctor
 
  • You must be connected to the internet to upload the file for manual repair.
  • For data damage issues only, only run the QuickBooks File Doctor if you cannot open the file. If you can open the file and work inside it, do not run QuickBooks File Dr.
  • Your company file must be smaller than 2 GB to upload through this tool.
  • You can resume the download while the tool is still open. However, if the tool is closed, the upload will start again.
  • You must be logged in as Administrator to run network diagnosis. QuickBooks must also be in hosting mode.
  • If Windows User Account Control is turned ON, the tool will be re-launched with elevated administrator privileges.
  • Network Diagnose and Repair functionality may not work properly if multiple QuickBooks versions are installed on your computer. Currently, network fixes only work on the latest version of QuickBooks you have installed that is the actual program, not the Database Manager only install.
  • The File Doctor works on .qbw or .qba files only. 
  • File repair and Network diagnosis is on by default.
  • Use the Advanced Settings button to run file only or network only diagnostics.

 

How to use the QuickBooks File Doctor
 

Important: If you are receiving an error opening your company file in Multi-User Mode over the network such as error H202H303H101, or H505, please follow the steps in the Error H101, H202, H303, or H505: when opening your company file article to resolve.

If you suspect data damage which is preventing your company file from opening, or receiving a 6000 series error message, you will need to run the QuickBooks File Doctor below.

  1. You should log into Windows as the admin user to install and run the free QuickBooks File Doctor tool.
  2. Download the QuickBooks File Doctor to your desktop.
  3. If prompted, select Save and then launch the saved file.
  4. Follow the built-in instructions to install.
  5. Once installed, if the File Doctor does not open automatically, double-click the File Doctor icon on your desktop.

FAQs - Activation

Validation Error

Error: "The validation code is incorrect. Please verify the number and enter it again."

 
What is happening

One of the following errors occurs after entering the validation code during the QuickBooks registration process:

  • The Validation code is incorrect.  Please verify the number and enter it again.
  • This service is temporarily unavailable. Please try again later.
Why is this happening
  • Incorrect license number, product code, or validation code.
  • System date is incorrectly set to a year in the future or in the past.
  • The CREDHIST file is read-only.
  • Damaged Microsoft Windows profile.
  • Damaged EntitlementDataStore.ecml file.
  • Microsoft .Net Framework security settings are set too high.
  • Damaged Microsoft .Net Framework component.

 

Verify the license number and product code
  1. Go to Help and About QuickBooks.
  2. Verify that the license number and product code match the one provided to you, either via email, letter or on the sticker in the product package.  If these don't match, contact Intuit.
  3. If you have not registered, or have been given a validation code by a support agent, enter the six digit validation code now:
    1. Go to Help, select Register QuickBooks and Begin Registration
    2. QuickBooks tries to connect and validate with Intuit's validation server.  If the validation is successful, the Validation window opens, and you will need to manually re-enter the validation code you were given by the support agent.

 

Adjust the System date and time settings
  1. Close QuickBooks.
  2. Right-click the time display in the Windows taskbar and select Adjust Date/Time.
  3. Click the Date & Time tab, set the date for the current year, select  Applyand OK.
  4. Open Quickbooks, go to Help, select Register QuickBooks and Begin Registration.
  5. Enter the Validation Code and click Next.

 

Check the read-only status of the CREDHIST file

 

  1. Make sure that all protected operating system files and hidden files and folders are visible:
    1. Open my Computer or Windows Explorer.
    2. Select Tools and Folder Options.
    3. In the Folder Options window, select the View tab and in theAdvanced settings list, choose the Show hidden files and folders option.
    4. Select to clear the Hide protected operating system files; chooseYes if prompted and OK.
  2. Navigate to the appropriate folder below for your operating system ([current user] is the login ID of the person currently logged in):
    • Windows XP: C:\Documents and Setting\[current user]\Application Data\Microsoft\Protect
    • Windows Vista: C:\Users\[current user]\AppData\Roaming\Microsoft\Protect.
  3. Locate the CREDHIST file, right-click the file and select Properties.
  4. In the CREDHIST Propertes window, locate the Read-only box.  If the box is checked, click the box to uncheck and OK.
  5. Open QuickBooks, go to Help; select Register QuickBooks and Begin Registration.
Create a New Administrator-level Windows user

Microsoft Windows XP

  1. Go to Start, select Control Panel, double click User Accounts, select Addand enter a User Name, choose Next.
  2. Select Other, choose Administrators and Finish.
  3. After creating the new user, log off of Windows and log back on as the new user.
  4. Open QuickBooks and register; go to Help, select Register QuickBooks andBegin Registration.
  5. If this resolves your error, decide whether to keep the new administrative user, or remove it and continue using the existing one.

Microsoft Windows Vista

  1. Go to Start, select Control Panel and Change account Type under User Accounts.
  2. When the User Account Control (UAC) window opens, select Continue, choose Add and enter a new user name and domain name, click Next.
  3. Select Administrator access for this new user and Finish.
  4. After creating the new user, log off of Windows and log back on as the new user.
  5. Open QuickBooks and register; go to Help, select Register QuickBooks andBegin Registration.
  6. If this resolves your error, decide whether to keep the new administrative user, or remove it and continue using the existing one.

 

Reset the EntitlementDataStore.ecml file
  1. Be sure that you are logged in as the Windows Administrator on your computer.
  2. Go to Start, select Run and in the Open field, enter the appropriate command for your version of QuickBooks:
    • QuickBooks 2008 & 2009: C:\Documents and Setting\All Users\Application Data\Intuit\Entitlement client\V5.
    • QuickBooks 2008 & 2009 (Windows Vista): C:\ProgramData\Entitlement Client\V5.
  3. select OK.
  4. If the EntitlementDataStore.ecml file is missing, proceed to step 6.
  5. If the EntitlementDataStore.ecml file is present, delete it.
  6.  Open QuickBooks and register; go to Help, select Register QuickBooksand Begin Registration.

Note: QuickBooks automatically recreates the EntitlementDataStore.ecml file when you open QuickBooks.

Repair the QuickBooks installation

Microsoft Windows XP

  1. Insert QuickBooks installation CD, go to Start, select Control Panel and choose Add or Remove Programs.
  2. Select your version of QuickBooks and choose Change/RemoveNext and select the Repair option and Next.
  3. Open QuickBooks and register; go to Help, select Register QuickBooks andBegin Registration.

Microsoft Windows Vista

  1. Insert QuickBooks installation CD, go to Start select Control Panel, chooseUninstall a program under Programs group, and double click your version of QuickBooks to repair.
  2. When the User Accounts Control (UAC) window opens, select Continue and (optional) restart computer.
  3. Open QuickBooks and register; go to Help, select Register QuickBooks andBegin Registration.  

 

Verify the Microsoft .Net Framework installation and check the security settings

Please Note: These following steps only apply if you are working with Windows XP.  The Microsoft .Net 2.0 framework is built into the Windows Visa Operting System.

 

Note: If Microsoft .Net Framework 1.1 or Microsoft .Net Framework 2.0 (QuickBooks 2009-QuickBooks 2008) is not listed in the Administrative Tools, it is not installed on your system.

  1.  Go to Start, select Setting and Control Panel.
    • Windows XP: Double-click Administrative Tools.
    • Windows Vista: Select System and Maintenance andAdministrative Tools.
  2. Double-click Microsoft .Net Framework 1.1 or Microsoft .Net Framework 2.0 Wizards and double-cick Adjust .Net Security.
  3. Select Make changes to this computer, choose Next; select My Computerand Next.
  4. Choose My ComputerNext. Move the securtiy slide bar to Full Trust and click Next; then click Finish. (Full Trust is the least restrictive setting).
  5. Open QuickBooks and register; go to Help, select Register QuickBooks andBegin Registration.

Uninstall Microsoft .Net Framework 1.1 or Microsoft .Net Framework 2.0

  1. Download and install the Microsoft .Net Framework Cleanup utility.
  2. Follow the onscreen steps to uninstall all versions of Microsoft .Net Framework.

Install Microsoft .Net Framework 1.1 or Microsoft .Net Framework 2.0

  1. Insert the QuickBooks installation CD; go to Start and choose Run.
  2. In the Open window, type the CD drive letter and than click OK.
  3. Open the ThirdParty folder:
    • QuickBooks 2009: Double-click the DotNet20 folder and double-click dotnetfx20.exe.
    • QuickBooks 2008: Double-click the DotNet11 folder and double-click dotnetfx.exe.
  4. Restart the computer.
  5. Open QuickBooks and register; go to Help, select Register QuickBooks andBegin Registration.

How do I activate or register QuickBooks?

To activate QuickBooks
  1. Open QuickBooks.

    If you have not yet registered QuickBooks, the Register QuickBooks window appears. In this window, click Begin Registration to start the activation process.

    To open this window from within the product, go to the Help menu, clickRegister QuickBooks and then click Begin Registration.

  2. QuickBooks will connect to the QuickBooks activation server and attempt to register your product online. Follow the onscreen instructions.

  3. If QuickBooks cannot connect to the activation server, the Register by Phone window will open automatically. Follow the onscreen instructions to register your product by phone with a support representative.

    Under rare circumstances, this window may not appear. To access the registration window directly:

    1. Go to the Help menu and click About QuickBooks.

    2. On your keyboard, hold the CTRL key, and then press R, then P.
       

Note: Do not use the Renew License by Phone window from the Manage My License command on the Help menu. This window is used only for renewing a subscription to QuickBooks 2008 or later when it runs out. 

To activate QuickBooks 2006:
  1. Open QuickBooks.
  2. If you are not prompted to activate, go to the File menu and chooseActivate QuickBooks.
  3. The activation wizard guides you through the activation process. Click Nextand follow the on-screen instructions.

If you are prompted to activate QuickBooks by phone but want to activate by internet, check to make sure that you have an active internet connection and try again. 

If you are unable to activate online, contact our Customer Service Representative. You must provide the representative with your customer number (if you have one) and Your Product Key which is provided by QuickBooks. The representative will provide you with a licence key. Enter this number in the Your Licence Key fields and click Finish to complete the activation process.

The My Licence Information window appears when QuickBooks is activated. Print this page for future references. To view this window again, go to the Helpmenu, and select My Licence Information.

If you do not see Activate QuickBooks from the File menu, then QuickBooks is activated. The Activate QuickBooks option changes to Refresh QuickBooks Licence...

Cloud Hosted FAQ

1. What's the difference between QuickBooks Cloud Hosting and QuickBooks Online ?

QuickBooks Cloud

 
Publishing QuickBooks to cloud enables users to access the QuickBooks desktop version that has been configured on a virtual server.
It allows users to get all the benefits and features available in QuickBooks desktop, but can be accessed remotely.
This means users won’t have to compromise on any of the QuickBooks features and functionality that is normally used on a local computer.
Using Windows Remote Desktop Protocol, users can access the server effortlessly – all you need is an internet connection.
 

QuickBooks Online

 
Online can be accessed via web login and is not as feature rich as the desktop version.
For example, the maximum number of users that can access online is also limited, whereas QuickBooks Accountant in the Cloud can have up to 30 simultaneous users, while QuickBooks Premier in the Cloud can have up to 5 simultaneous users (with the purchase of additional licenses)

2. What type of connection do I need ?

The optimal internet connection for you depends entirely on how many users intend to access our cloud software from the same location. Our most common recommendations include:
 
  • ADSL – A line that’s 4 – 10MB can cater to five or less users.
  • 3G – Between three and five users could work via this connection.
  • LTE – This wireless transmission service can host four to eight users.
  • Fibre optics – These connections can accommodate up to ten people.

3. Is my company data safe ?

4. Can I use my current version of QuickBooks and put on the cloud ?

Yes, you can. QuickBooks 2012 or later can easily be uploaded onto the Cloud. Through a process called bridging, the QuickBooks Registrations department will be able to combine/bundle your QuickBooks licenses into one primary key code.
 
QuickBooks will then be installed with the primary license number on the server – allowing multiple users to access it.

5. Can I use my local computer's Microsoft Outlook and Excel Programs or do I need special versions for the cloud ?

Although it’s possible to install standard Microsoft Outlook and Excel on cloud it is not permitted as certain rules apply for cloud usage.
 
The Cloud license is different when it comes to hosted platforms. Microsoft Office and Excel for cloud are available at an additional cost.

6. Can I jump between the QuickBooks Cloud and my local desktop version ?

Any work done on the Cloud can be backed up and saved on your local computer.

However, please be warned that changes made on the local file will not update the working file on the Cloud. For this reason, if one out of three employees conducts their business on Cloud, all three of them need to use QuickBooks on the Cloud and not just the ‘roaming user’.

7. From which devices can I access QuickBooks Cloud Hosted ?

Our cloud accounting software is available on the following devices by connecting to the internet:
 
  • Desktop computers that run Windows 7, 8 or Vista
  • MacBooks
  • iPads
  • Tablets

8. Can I access non-QuickBooks related programs and files while logged into the Cloud Server ?

You can, but additional fees will apply.

9. Who sets up users on the server, installs QuickBooks and restores backup files ?

10. Will I be able to send files saved on the cloud to my local printer ?

In most cases, you will.
